Automating your processes eliminates most of the worry about human error, and makes it easy to have a broad base of communication. Keeping everyone in the loop means there are lots of people who can monitor quality and accuracy, and you don’t have to worry about anyone missing the vital information they need to perform their job.

How to Choose the Right Software

There are tons of options for you to choose from once you’ve decided to automate your purchasing processes. Each kind of software has its benefits and drawbacks, and each is designed for a particular set of needs. Some software can get quite expensive, and the wrong software can be more of a hassle than a helpmate, so you need to choose carefully. Here’s how:

  • Have a list of must-haves. What kinds of features do you absolutely need to run your purchasing process? Do you need to directly link your purchasing to your inventory control software? Do you need to be able to easily contact people throughout the purchasing process? Evaluate your process and establish which steps are absolute requirements and how you can make them easier - then choose software that meets those needs.
  • Don’t get sold easily. Software companies are continually coming out with upgrades and add-ons that aren’t always necessary to efficiently run your business. Choose the software that meets your needs, and don’t let anyone (including yourself!) talk you into the more expensive, or the more expansive, option you don’t need. Having extra software that you probably won’t use is just a waste of your time and electronic storage - not to mention your money! Choose software that’s easily maintained and won’t overwhelm users.
  • Ask for a trial run. When you’re looking at committing big bucks to a system that will probably stick with you for several years, most companies understand you don’t want to jump in head first. You can usually get trial periods or sample software which, of course, won’t offer you all the same benefits of purchased software, but should give you the gist of what you’re getting into. Don’t be afraid to try a couple different software solutions before you commit.
